Creating and Sending a Notice (Addendum, RFI Response, etc.)
Once an invitation has been sent, all future notices can/should be created, sent, and managed separately using the Add Notice function.
1. Creating a new Notice (Addendum, Amendment, Memo, etc.)
a. Open up your project and go to
Project Options > Add Notice, or Notices > Create Notice.
b. Enter the “Title”. This will show in bold letters in the header of the document as well as in the Subject line for those that are emailed. For example, the title could be “Addendum 1” or “Bid Date Change Notice” or “RFI 2 Response”. You can preview and then edit the Title later if you wish.
c. “Description” is where you can write a description of the purpose of the notice, and if there are plans or specs to view, give them directions where to find them (which folder they are in, etc).
d. If you are finished and are ready to send, click "Save & Preview/Send". Otherwise, you can click Save and then come back and send later. You can always edit a Notice, even after sending, but you cannot delete a notice after it has been sent.
2. Previewing and Sending a Notice:
a. All Except No's is the most popular sending option, since it allows you
to send to the “yes” (bidding) and “unconfirmed” bidders, without bothering the
subs that said “no” (not bidding).
b. Select by Trade will allow you to select which trades and also by their Confirmation "Yes", "No", "Unconfirmed", "Unsure".
c. All will send to all the bidders on your bidders list for the project.
d. Bidding-Yes
will send to all the bidders marked as "Yes" on your bidders list.
e. Unconfirmed
will send to all the bidders who have not confirmed Yes, No, or Unsure.
f. Bidding-Yes, Rcvd-No
will send to all the bidders who responded Yes, but are marked as Bid Received-No, on your bidders list.
g. Bid Rcvd-Yes
will send to all the bidders who are marked as Bid Received (RCVD) Yes.
h. Awarded
will send to all the bidders who are check-marked in the Awarded column on your bidders list.
i. Not Awarded
will send to all the bidders who are NOT check-marked in the Awarded column on your bidders list.
j. Select by Group allows you to select which Group(s) to send to.
k. Individual allows you to select which individual to send to.
l. Bid Package allows you to select which Bid Package to send to.
