Creating Bid Packages

IMPORTANT NOTE:

There are three ways to select bidders for Bid Packages:

Method #1. Select bidders by trade, exclusively to a Bid Package. If their same trade exists on other Bid Package(s), you have the option to invite them or exclude them from those Bid Packages. To do this, always select bidders from within the Bid Package. Do not select bidders from the Parent Project by Trade.

Method #2: Select bidders by trade, where you want the bidder to automatically be added to all Bid Packages where their trade exists. To do this, select bidders by trade from the Parent Project.
NOTE! Realize that if the same Trade exists in multiple Bid Packages, a subcontractor response of Yes or No to bidding applies to all Bid Packages where their Trade exists.

Method #3: No Trades in Bid Packages. To use this method, do not select trades when creating your Bid Package. You will need to select bidders alphabetically from within the Bid Package or alphabetically from the Parent Project using the "BP" column to select the appropriate Bid Package.


METHOD #1 (Bidders Exclusive to each Bid Package):
  1. Create a project as usual. (We recommend uploading Planroom files after all Bid Packages are created). All of the project info, bid date, etc. shall reside in the "Parent Project". You'll have the option to edit any of the Parent Project info on each Bid Package.  Click "Add Bid Package" in the lower left to create your first Bid Package.

  2. Enter the Bid Package Name.

  3. To change anything from the Parent Project info, uncheck the blue check-mark and edit as needed.

  4. Click the blue "Select Trades" to designate which Trades are associated with this Bid Package, then click the green button "Add Bid Package".



  5. Make sure you are in the Bid Package (eg. "Site Work" in the upper left of the example below). Click "Select Bidders" to select which subcontractors you would like to invite to the Bid Package. Click the "package" icon next to each bidder you want to select.



    NOTE: The "package" icon signifies that you are selecting the bidder EXCLUSIVELY to the Bid Package. If you were to select bidders by trade in the Parent Project, you will see the "star" icon, which will invite the bidder to all Bid Packages where their trade exists.

  6. Click "Planroom" and upload files. If you upload files directly into a Bid Package Planroom, they will only be seen by the subcontractors in the trades assigned to the Bid Package. If you upload files into the Parent Project Planroom, they will be seen by all subcontractors, and you may restrict files by Bid Package by clicking "Bid Package Permissions" in the lower right. 


  7. On the Bid Package Permissions Grid, you can select which which files will be available for each Bid Package.

    NOTE: Uploading a file into the Parent Project will automatically assign the file to all Bid Packages. Uploading a file DIRECTLY into a Bid Package assumes that file is only intended for that Bid Package, and will only be assigned to that Bid Package, but you can always change the Permissions in your Permissions grid.



      Other Notes: 
  • You may assign a different Project Contact for each Bid Package via the Project Contacts menu in the left gray menu.
  • Adding a Notice to your Parent Project will automatically assign it to all Bid Packages, but you can select which Bid Packages shall have access on the Add/Edit Notice screen.

METHOD #2: (Bidders invited to all Bid Packages that have their trade):
  1. Click "Add a Bid Package".

  2. Enter the Bid Package Name.

  3. To change anything from the Parent Project info, uncheck the blue check-mark and edit as needed.

  4. Click the blue "Select Trades" to designate which Trades are associated with this Bid Package, then click the green button "Add Bid Package". Continue adding as many Bid Packages as you need.

  5. Click "Back to Project" (parent project) and click Select Bidders (use any method). All bidders will be assigned to all Bid Packages where their trade was assigned above in Step 4.

  6. Click "Planroom" and upload files. If you upload files directly into a Bid Package Planroom, they will only be seen by the subcontractors in the trades assigned to the Bid Package. If you upload files into the Parent Project Planroom, they will be seen by all subcontractors, and you may restrict files by Bid Package by clicking "Bid Package Permissions" in the lower right. (See Screenshot in Method #1 above).

  7. On the Bid Package Permissions Grid, you can select which which files will be available for each Bid Package. (See Screenshot in Method #1 above).

METHOD #3: (No Trades in Bid Packages):
  1. Click "Add a Bid Package".

  2. Enter the Bid Package Name.

  3. To change anything from the Parent Project info, uncheck the blue check-mark and edit as needed.

  4. Click the green button "Add Bid Package", ignore the warning about Trades.

  5. Select Bidders by Alphabetical (make sure you are within the Bid Package!) Alternatively, you can Select Bidders by Trade from the Parent Project, but make sure use the "BP" column to select which Bid Package(s) you want to assign the bidder to. (Do not click the "star" icon in the "Invite" column).



  6. Click "Planroom" and upload files. If you upload files directly into a Bid Package Planroom, they will only be seen by the subcontractors in the trades assigned to the Bid Package. If you upload files into the Parent Project Planroom, they will be seen by all subcontractors, and you may restrict files by Bid Package by clicking "Bid Package Permissions" in the lower right. (See Screenshot in Method #1 above).

  7. On the Bid Package Permissions Grid, you can select which which files will be available for each Bid Package. (See Screenshot in Method #1 above).

  • If you your Bidders List shows a Trades column, your Administrator (any user with Admin role) can hide that column via Settings > System Preferences > Bidder List, hide "Trade".
